A Finix bank deposit will not always equal one day’s gross sales. Settlements can combine payments, refunds, fees, disputes and adjustments before a Funding Transfer reaches the bank. The fastest way to investigate a mismatch is to connect the original Transfer to its Settlement Entry, Settlement and final merchant deposit. This independent guide is not operated by or affiliated with Finix.
Finix provides Dashboard exports, scheduled reports and visual Insights. They answer different questions and should not be treated as interchangeable accounting records.
Why Finix sales and deposits may not match
The Finix payment lifecycle contains several stages.
- The buyer makes a payment.
- Finix creates an Authorization or Transfer.
- The transaction becomes a Settlement Entry.
- Finix groups entries into a Settlement.
- A Funding Transfer sends the net amount to the merchant’s bank.
A Settlement can include Transfers, custom fees and Split Transfers. Finix normally creates accruing settlements and closes them according to the merchant’s payout configuration.
A deposit may therefore be smaller than gross sales because it includes:
- Processing fees
- Customer refunds
- Chargebacks
- ACH returns
- Platform fees
- Manual adjustments
- Prior payout corrections
It can also be larger than one day’s sales when the deposit includes transactions accumulated across several days.
Do not begin with the bank statement and attempt to guess which orders it contains. Begin with the Finix Settlement associated with the Funding Transfer.
Reports, exports and Insights are different
Finix divides operational data into three main tools.

Finix says reports are generated regularly and appear under Reports in the Dashboard. Exports are created from supported pages by selecting Export All, then downloaded from the Exports page. Insights contains visual analytics for payments, authorizations, refunds and merchant performance.
Use a report when finance needs a standardized recurring file.
Use an export when support needs a custom date range or filtered list of records.
Use Insights when management needs a trend, not a line-by-line accounting file.
Which Finix pages can be exported?
Finix allows CSV exports from several Dashboard areas:
- Payments
- Authorizations
- Refunds
- Payment Instruments
- Settlements
- Merchant Deposits
- Disputes
- ACH Returns
- Identities
- Merchant Accounts
- Compliance
- Onboarding Forms
- Buyers
The documented export process is:
- Open the relevant Dashboard page.
- Apply the necessary filters.
- Select Export All in the upper-right corner.
- Open the Exports page.
- Download the completed CSV.
“Export All” refers to the filtered result set, not necessarily every record ever created by the account.
Check the active date range, merchant and state filters before creating the file. A hidden filter can make a complete export appear to be missing transactions.
Which Finix report should finance use?
Finix publishes multiple reports for different reconciliation levels.

A direct merchant usually starts with transaction and settlement records.
A software platform needs merchant-, application- and processor-level reports because one bank movement can represent activity from many sellers.
The report name should match the accounting question. A chargeback report cannot explain ordinary fee deductions, and a transaction report may not fully explain why a bank Funding Transfer was returned.
How to match a payment to a settlement
A successful payment Transfer is not the same record as the merchant’s bank deposit.
The payment contributes to a Settlement Entry. That entry belongs to a Settlement, and the approved Settlement produces a Funding Transfer.
A reliable reconciliation table should preserve:

The Finix API permits resource listing and filtering with GET requests. Applications can use those queries to locate Transfers, Settlements and related resources rather than relying only on manually downloaded files.
Store Finix IDs with the order when the payment is created. Attempting to reconstruct every relationship from amount and date alone becomes unreliable when several customers pay the same amount.
Why dates appear one day off
Finix reports can use UTC timestamps. The Reports guide states that report timestamps are in UTC, including the Failed Funding Instructions report.
This can shift a transaction into a different calendar date from the merchant’s local time.
For example, a payment at 6:30 p.m. in Arizona on July 30 occurs after midnight UTC on July 31. A Dashboard report grouped by UTC may place it on July 31 even though the store recorded it on July 30.
Other dates can also differ:
- Transaction creation date
- Authorization date
- Capture date
- Settlement date
- Funding attempt date
- Bank posting date
- ACH return date
Choose one date definition for each reconciliation.
Sales reporting may use the merchant’s transaction date. Cash reconciliation should use the Funding Transfer and bank-posting dates. Tax reporting may follow another accounting rule.
A one-day difference is not automatically a missing payment.
Why the settlement total differs from the deposit
First determine whether the account uses net or gross funding.
Under a net model, fees and other deductions can be removed before the deposit. Under a gross arrangement, the merchant may receive sales proceeds and see separate bank debits for applicable fees.
Even under net funding, the settlement amount and final bank posting may differ when a Funding Transfer is returned, retried or corrected.
Use this order:
- Confirm the Settlement’s net amount.
- Locate the related Funding Transfer.
- Check whether its state succeeded or failed.
- Review any return code.
- Compare the exact bank amount and posting date.
- Check for a later retry or correction.
Do not add gross sales and refunds manually until the Settlement Entries have been reviewed. A prior adjustment may already be included.
How to investigate a returned payout
Finix’s Failed Funding Instructions report lists payouts that were returned. It includes the return date, original processing date, attempted transfer date, merchant, transfer amount, reason code and reason message.
Common causes include a closed account or incorrect bank-account information.
The useful fields are:

Use the reason code before changing the bank account.
An invalid account number calls for corrected banking information. A closed account calls for a replacement account. A debit returned for insufficient funds requires a different response.
Replacing valid banking details does not solve every return type.
How settlement schedules affect reconciliation
Finix settlement timing depends partly on the processor and account model.
Its current documentation says:
LITLE_V1automatically creates settlements Monday through Friday.VANTIV_V1can create them every day.- Settlement completion still follows weekday banking schedules, excluding federal banking holidays.
For Finix Core customers, settlements should be approved before 7:00 p.m. Eastern, or 4:00 p.m. Pacific, for next-day seller funding. Finix recommends approval by 6:00 p.m. Eastern to leave time for review.
Finix Flex uses a managed flow where Finix reviews and approves settlements. Transactions flagged for risk review can delay approval.
A weekend gap is therefore not necessarily an error.
Friday, Saturday and Sunday activity may be combined or approved according to the processor’s documented schedule. Federal banking holidays can also move the bank deposit even when the Finix Settlement is complete.
How to audit Finix fees
The Consolidated Fees reports contain fees collected from merchants, card-network fees passed through and program charges. Finix describes them as tools for revenue, cost and transaction-level auditing.
The report can help explain:
- Percentage processing fees
- Fixed transaction fees
- Card-network assessments
- Interchange
- Subscription-related charges
- Other account fees
Do not compare the currently displayed Fee Profile with an old transaction and assume they must match.
Finix warns in its reporting documentation that base rate columns may not reflect older rates previously applied to the merchant or special transaction-level pricing.
Fee reconciliation should therefore use the fee actually attached to the transaction, together with its processing date and active pricing terms.
A Fee Profile is configuration. A fee record is the financial event.
What happened to the Net Profit Report?
Finix deprecated the Net Profit Report on June 1, 2025. Its documentation directs customers to Platform Residuals for current information about how residual revenue is calculated and paid.
This matters when an older accounting procedure still instructs staff to download monthly net_profit_merchant or net_profit_application files.
A saved report may remain in historical records, but it should not be treated as the current source for later platform-profit calculations.
Update internal procedures to use:
- Consolidated Fees for fee and cost auditing
- Platform Residuals for residual calculation and payment
- Settlement reports for seller-funding reconciliation
Old documentation can create false missing-report tickets.
How Finix Insights should be used
Finix Insights includes payment volume, successful and failed sales, average transaction amount, authorization rate, refund volume and merchant performance. It can also break activity down by card brand, payment method, merchant and Merchant Category Code.
Year-to-date metrics include:
- Active merchants
- Disputes
- ACH returns
- Chargeback rate
Insights is useful for spotting a problem.
For example, a spike in failed sales by one failure code may indicate an integration or issuer problem. A sharp increase in ACH returns may predict settlement risk. A decline in authorization rate for one card brand can justify deeper investigation.
Insights is not the final accounting ledger.
Its figures are aggregated and may use definitions that differ from the merchant’s accounting software. After identifying an anomaly, export the underlying records and reconcile the individual resources.
Finix currently limits Insights availability to Finix Flex customers and accounts using FINIX_V1 as the processor.
A practical daily Finix reconciliation workflow
A daily process can remain compact:
- Download or ingest the previous day’s Transactions Settled report.
- Match every transaction to an internal order.
- Review refunds, disputes and ACH returns separately.
- Match Settlement Entries to the Settlement Merchant report.
- Confirm the related merchant deposit or Funding Transfer.
- Compare the final amount with the bank statement.
- Move unmatched records into an exception queue.
Exceptions should have a reason, such as:
- Not yet settled
- Held for review
- Returned Funding Transfer
- Refund included
- Chargeback included
- Fee difference
- UTC date mismatch
- Missing internal order
- Duplicate internal posting
Do not force the books to balance by entering a generic miscellaneous adjustment. A temporary unexplained adjustment hides the exact issue and makes the next reconciliation harder.

Where are Finix reports?
Log in to the Dashboard and select Reports from the left navigation.
How do I export Finix payments?
Open the Payments page, apply filters and select Export All. The completed CSV appears on the Exports page.
Why is my deposit lower than sales?
The Settlement may include fees, refunds, disputes, ACH returns or adjustments. Match the Transfer to its Settlement Entries and Funding Transfer.
Which report shows yesterday’s settled transactions?
Finix provides the Transactions Settled report for transactions that settled the previous day.
Which report explains a returned bank payout?
Use Failed Funding Instructions. It includes the transfer amount, return code and reason message.
Why are Finix report dates different from local dates?
Report timestamps can use UTC. A late local transaction may appear under the following UTC calendar date.
Does Finix still provide the Net Profit Report?
No. Finix deprecated it on June 1, 2025 and directs platforms to Platform Residuals.
Are Finix Insights available to every account?
No. Finix currently documents Insights for Finix Flex customers using FINIX_V1.
Can I reconcile from bank deposits alone?
Not reliably. A bank deposit is a net Funding Transfer and may combine many payments, deductions and adjustments.
Preserve the Finix Transfer, Settlement and Funding Transfer IDs with every internal order. Once those identifiers are connected, most apparent payout discrepancies can be traced to a specific refund, fee, return, timing difference or settlement entry instead of being treated as missing money.
